Job Purpose

The Banqueting Coordinator ensures the seamless planning, organization, and execution of all banqueting events, delivering exceptional guest experiences while maintaining the highest standards of service and operational efficiency.

Key Responsibilities

Event Coordination

  1. Collaborate with clients to understand event requirements and preferences.
  2. Prepare detailed event proposals, schedules, and floor plans tailored to client specifications.
  3. Coordinate with the kitchen, service staff, and other departments to ensure smooth event execution.

Operational Management

  1. Oversee the setup of banquet halls, ensuring compliance with client requests, safety standards, and hotel policies.
  2. Supervise event staff, including waitstaff, bartenders, and audiovisual teams, to ensure proper task execution.
  3. Monitor event activities to ensure client satisfaction and promptly address any issues or adjustments.

Sales and Budgeting

  1. Assist in promoting banquet services to potential clients through site tours and proposal presentations.
  2. Prepare and manage budgets for each event, ensuring cost-effectiveness and profitability.
  3. Upsell hotel services, including accommodation, dining, and spa services, to event clients.

Administrative Duties

  1. Maintain accurate records of all banquet bookings, contracts, and client communications.
  2. Prepare post-event reports and client feedback summaries for continuous improvement.
  3. Ensure compliance with health, safety, and hygiene regulations during events.

Qualifications and Experience

  • Diploma or Degree in Hospitality Management, Event Planning, or a related field.
  • Minimum of 2-3 years’ experience in a similar role, preferably in a hotel or resort environment.
  • Strong knowledge of banqueting operations and event management.
  • Familiarity with food and beverage service standards.
